Advanced Magento Reporting

Advanced Magento Reporting
4:46

Advanced reporting in Magento and Adobe Commerce turns store data into dashboards on orders, customers and products, so executives can see what sells, who buys again and where revenue leaks. It is built in, takes a few settings to activate, and updates daily. The value comes from deciding which numbers the business will manage.

Picture the monthly trading meeting of an online home-furnishings company. The chief executive asks why revenue grew nine percent while profit stayed flat. The head of e-commerce brings a spreadsheet exported from the store, the marketing director brings a different one from the advertising platform, and the finance director brings a third from the accounting system. Forty minutes pass before anyone agrees on the number of orders last month. This scenario is illustrative, yet it is familiar to any leader who has tried to manage an eCommerce without a single view of its results.

Managing an eCommerce, in many cases, involves extraordinary challenges. There are so many things to be aware of that sometimes it is difficult to determine which one to focus on. Magento can adjust according to the results obtained thanks to the complete reporting and data visualization functions that bring advanced reports.

Data-driven decision making is critical to optimizing e-commerce performance, and Magento offers advanced reporting tools that enable companies to monitor key metrics, analyze customer behavior and improve their sales strategies. A well-structured reporting system provides valuable information to optimize operations and improve the shopping experience.

Thanks to the advanced reporting capabilities in Magento, companies can view data on sales, inventory, customer retention and marketing performance. These reports enable store managers to identify trends, spot opportunities and make strategic decisions that drive growth and profitability. One precision matters for executives who expect a live feed. According to Adobe's documentation, Advanced Reporting sends store data once a day at a time you choose, so it is a daily view and not a real-time one. Daily freshness is more than enough for trading decisions, but it should not be confused with the operational monitoring a team needs during a campaign.

This article discusses the benefits of advanced reporting in Magento and explains how companies can leverage data analytics to refine their strategies, improve efficiency and maximize revenue. Understanding and using these tools effectively supports a competitive advantage in e-commerce. As we will see below, Magento provides access to dynamic reports based on products, orders and customer data, with a dashboard that adapts to your needs.

What reports does Magento give you by default?

By default, Magento comes with a series of reports that show information in a general way and that can be exported and then filtered and analyzed. They fall into three families, which together answer the basic questions of any retailer about sales, customers and marketing.

Sales reports. Magento offers sales reports that include orders, invoices, shipments and coupons. They allow filtering by time, date and status. For a finance team, these reports are the starting point to reconcile what the store says it sold with what the accounting system recognizes.

Customer reports. Customer reports include the complete order series, with the number of orders per customer. Adobe's customer reports documentation lists them under the Reports menu in the Admin sidebar as the Order Total, Order Count and New Accounts reports, plus a Customer Wish List report in Adobe Commerce on Cloud and on-premises projects. Read together, they show who your best customers are, how often they return and how many new accounts the store is attracting.

Marketing reports. These reports show information about shopping carts. You can get information about products in the cart, search terms and abandoned carts. Abandoned carts deserve particular attention. The Baymard Institute, in its cart abandonment research, reports an average documented abandonment rate of about 70 percent across 50 studies, which means that a large share of the revenue intent in any store never becomes an order. Knowing your own figure is the first step to improving it.

What does the store need before advanced reporting can be activated?

There are three requirements to activate advanced reporting. The domain must have a valid security certificate (SSL). The base URL configuration must point to the secure URL in the Commerce configuration for store URLs. And in that same configuration, you must use a secure URL in both the storefront and the admin. Adobe's business intelligence documentation confirms these points and adds others for the technical team to check, such as a public web server, running cron jobs and a store that has always used a single base currency. It also notes that the feature applies to Adobe Commerce on Cloud and on-premises projects, so the edition you run matters.

How do you configure advanced reporting in Magento?

To access advanced reports, you first need to enable and configure them. The first step is to enable the service. In the Admin sidebar, open the Stores menu, then Settings, then Configuration. Adobe's current Advanced Reporting configuration page gives the path as Stores, Settings, Configuration. In the left panel, select General and then Advanced Reporting.

Reporteria 1

On that screen, verify that the advanced reporting service is active, set the time of day you want the data to be sent, and in the industry data section select the industry that best describes your business. Adobe describes these as the Advanced Reporting Service, Time of day to send data and Industry fields. After that, save the information, click the message at the top of the page to refresh the invalid caches, and wait for the data to be updated at the selected time of day.

The second step is to access the advanced reports. In the sidebar, go to Reports, then Business Intelligence, then Advanced Reports. In this panel you can view a quick summary of orders, customers and products.

Next, set the date filters for the desired period and select the store view.

With the above steps, your advanced reporting is ready and configured.

What do the advanced dashboards actually show?

According to Adobe, the personalized dashboard covers three areas. The orders area includes revenue, order count, average order value, refunds, tax and shipping collected, orders by status, coupon usage and regional breakdowns. The customers area shows unique customers, new registered accounts, top coupon users and a customer table of key indicators. The products area shows quantity sold, products added to wish lists and best sellers by quantity and by revenue. Adobe also describes a separate Commerce Intelligence account that provides five dashboards with roughly 70 reports for deeper analysis, which is an option for companies that outgrow the built-in view.

The practical lesson is that the tool is not the constraint. Most stores already have the data. What they lack is agreement on which five or six numbers deserve a weekly conversation.

Which indicators should an executive team follow first?

A dashboard with dozens of charts rarely changes behavior. A short set of indicators does. Start with revenue and order count by period, because they show whether the business is growing and whether the growth comes from more orders or from larger ones. Add average order value, which reveals whether promotions, bundles and shipping thresholds are working. Add new registered accounts and unique customers to see whether acquisition is healthy, and add the share of revenue that comes from returning customers to see whether loyalty is building.

Then look at the products. Best sellers by quantity and by revenue are not always the same items, and the difference matters for inventory and margin. Products that are added to wish lists often but sell rarely may be priced too high, hard to find in the right size or missing from the right campaign. Finally, review coupon usage and abandoned carts together. If a coupon lifts orders without lifting profit, it is a cost and not an investment, and if abandoned carts cluster around a particular product or step, the cause is usually specific and fixable.

How do you keep reporting trustworthy?

Trust is built before the first meeting. Agree on definitions in writing, such as what counts as an order, how refunds and cancellations are treated, and whether tax and shipping are included in revenue. Compare the dashboard with the accounting system for at least one full month and document the differences. Some of them will have legitimate explanations, such as timing or currency, and others will point to configuration problems that are cheaper to fix early.

Pay attention to the technical conditions that affect the data. The service sends information on a daily schedule, so a report read in the morning may not include the latest orders. Stores that have used more than one base currency may not be able to use the feature, according to Adobe. Test orders, internal purchases and imported historical data can distort early results, so decide how they will be excluded. Finally, assign an owner for the reporting setup, just as you would for any financial system, so that changes to the store configuration do not silently break the data feed.

How do different industries use these reports?

In fashion and consumer goods, the best-seller and wish list data guide buying and promotions, since a product that is saved often but rarely purchased is a pricing or sizing question. In B2B distribution, the customer reports reveal which accounts reorder, which have gone quiet and where a sales representative should call. In electronics, coupon and regional data show whether discounts create new demand or merely give away margin. In subscription and consumables businesses, new accounts and repeat orders tell you whether acquisition spending is building a base or buying one-time sales. In each case, the report is useful only when someone owns the follow-up.

What mistakes should leaders avoid when they start measuring?

The first mistake is measuring everything and acting on nothing. Reports that nobody reviews are a cost, so each indicator needs an owner and a regular slot on a meeting agenda. The second mistake is judging a short period. Daily and weekly numbers move with promotions, holidays and campaigns, so trends over several weeks tell a more reliable story. The third mistake is treating the store in isolation. Revenue depends on traffic, advertising, stock availability and service, and the store reports show only one part of that chain, which is why many companies combine them with external analytics. The last mistake is forgetting privacy. Customer data should be handled according to your policies and the regulations that apply in each market, and access to detailed reports should be limited to the people who need them.

What does this mean for the C-level?

The tools that Magento provides help manage eCommerce better and are part of the business's success. Tracking, reporting and visualization of graphs help you develop your business and make better decisions based on data. Implementing advanced reporting in Magento enables companies to make data-driven decisions to improve efficiency and profitability. By analyzing sales trends, customer behaviors and inventory levels, companies can optimize their operations and develop more effective marketing strategies.

For the chief executive, the benefit is a shared version of the truth, so that meetings discuss decisions instead of reconciling numbers. For the chief financial officer, the value is traceability between store orders, refunds, taxes and the ledger. For the chief marketing officer, the abandoned cart, search term and coupon data show where campaigns attract the wrong visitors and where the site loses the right ones. For the chief information officer, the points to confirm are the edition, the secure configuration and the integration with other analytics platforms, since the ability to customize reports and to integrate with external analytics platforms ensures that administrators have a complete view of store performance.

Magento's analytics tools can help anticipate demand, reduce costs and improve customer satisfaction. That claim holds when the reports are reviewed on a schedule and linked to actions. A well-structured reporting system is key to sustainable growth and continuous optimization in the e-commerce industry.

What can I do on Monday morning?

Ask your technology team to confirm three things. Is your store on an edition and deployment where Advanced Reporting is available? Does it meet the secure URL and certificate requirements? Is the service already enabled, and at what time of day does it send data? If the answer to the last question is no, schedule the configuration for this week, because the history only starts to build once the service is on.

Then gather your commercial leaders for sixty minutes and choose the six numbers that will be reviewed every Monday, for example revenue, orders, average order value, new accounts, repeat customers and abandoned carts. Assign an owner to each number and agree on what action follows when it moves in the wrong direction. Finally, compare the dashboard figures with the accounting system for one month, so everyone trusts the data before it is used to make decisions.

Frequently asked questions

Is advanced reporting included in every Magento edition? Not necessarily. Adobe marks it as applying to Adobe Commerce on Cloud and on-premises projects, so confirm your edition and deployment before planning around it.

Are the reports real time? No. The store sends data once a day at the time you configure, and Adobe notes that data may lag by up to a day when the update queue is large.

Who should see these dashboards? Anyone who makes commercial or financial decisions about the store, with an owner for each indicator.

Can I use my own analytics platform too? Yes. Many companies combine the built-in reports with external analytics so that traffic, advertising and store results can be seen together.

How long does it take to configure? The configuration itself is short once the secure URL and certificate requirements are in place. Defining the indicators and the review routine usually takes longer than the technical steps.

Good reporting turns a store into a business you can manage. If you would like help configuring Magento reporting or defining the indicators that matter for your company, our team will be glad to talk with you through our contact page.
