HubSpot Salesforce Integration Services
Marketing works in HubSpot, sales lives in Salesforce and leadership needs one version of the customer. ICX Consulting designs and builds your HubSpot Salesforce integration so both platforms share clean, trusted data.
A HubSpot Salesforce integration from ICX Consulting connects the two platforms around your commercial process, not around default settings. We decide with your leaders which system owns each record, which data travels in each direction and when, and how conflicts and duplicates are resolved. Then we configure and test the connection and leave a governance model so it keeps working after launch.
The campaign report shows hundreds of new leads. The sales director opens Salesforce and finds only a fraction of them, half without a company and several created twice. Marketing says the leads were sent. Sales says they never arrived, or arrived incomplete. Both teams are looking at real data in their own CRM, and the integration that should connect them is the reason they disagree.
ICX approaches every integration with the same method we use in any CRM project. First we define the business processes, business rules, control points, KPI and OKR, and only then we automate them in the platforms, because automating disorder between two systems only doubles it. With the ICX Transformation Framework, our methodology for adopting software into a sales or service process, the integration becomes part of how teams work rather than a technical side project.

Why Companies Choose ICX for Their Salesforce HubSpot Integration
ICX Consulting is a Customer Experience and Commercial Strategy firm headquartered in Miami that serves mid-market and enterprise companies. We are a HubSpot Solutions Partner at Platinum tier, with more than ten years working with HubSpot and five HubSpot accreditations, the CRM Implementation Accreditation, Onboarding Accreditation, Custom Integration Accreditation, Data Migration Accreditation and Solutions Architecture Design Accreditation. The Custom Integration Accreditation is the one most directly tied to this work. ICX is also a Salesforce Consulting Partner, so our team works on both sides of the connection.

When HubSpot and Salesforce Coexist
Many companies run both platforms on purpose. A common pattern is marketing on HubSpot, with its automation, forms and content tools, while sales and service stay on Salesforce, where the opportunity process, quoting and reporting already live. Others arrive at two CRMs through an acquisition, a business unit that chose differently or a transition that has not finished. In every case the question is not which tool is better, but how both can share the same customer without competing for it.
Before building anything we confirm that two platforms are the right answer. If one CRM can cover the whole process, a HubSpot migration or a consolidation in Salesforce may cost less over time than maintaining an integration. When both are justified, we design the integration to last.
What a HubSpot Salesforce Integration Synchronizes
The scope depends on the editions you own and on your process, but most integrations cover the same core objects.
Contacts and Leads
HubSpot contacts sync with Salesforce leads or contacts. We define when a HubSpot contact should be created in Salesforce, usually once it reaches an agreed lifecycle stage or score, so sales receives qualified leads instead of every form submission.
Companies and Accounts
Companies connect with Salesforce accounts so both teams see the same organization, with rules for matching records and for deciding which system creates new accounts.
Deals and Opportunities
Opportunities and their stages can be reflected in HubSpot as deals, so marketing can report on pipeline and revenue influenced by campaigns, not only on leads delivered.
Activities, Tasks and Campaigns
Email engagement, form submissions, page visits and tasks can be shown in Salesforce, giving sales context before each call, while campaigns can be connected for attribution.
Custom Properties and Objects
Custom fields are mapped one by one with their data type and picklist values. Custom objects and cases the standard connector does not cover are evaluated for a custom integration.
An integration is a decision about who owns each record, not only a connector.
Sync Rules and Data Ownership
The connector moves data. The rules decide whether that data can be trusted. ICX designs them with marketing, sales, service and the administrators of both platforms.
Map the Process Before the Fields
We start with the customer life cycle, from first contact to closed deal and renewal, and define at which moment each record should exist in each system and who works it.
Decide Which System Owns Each Record and Field
For every object and key field we define the system of record. Salesforce may own account data and opportunity amounts, while HubSpot owns marketing source, lifecycle stage and engagement. Ownership determines the sync direction and which value prevails when both change.
Define What Syncs and When
Inclusion lists, filters and triggers control which records cross over. This keeps unqualified contacts out of Salesforce, protects license capacity and keeps sales focused on the right leads.
Test Before Going Live
We validate mappings and rules in a sandbox or with a controlled set of records, review the results with each team and only then turn on the full sync.
Conflicts and Duplicates Between HubSpot and Salesforce
Most integration problems show up as conflicts and duplicates. A conflict happens when the same field is updated in both systems with different values. A duplicate happens when the same person or company exists more than once, often because records were created separately before the connection or because matching rules were never agreed.
We clean and deduplicate both databases before connecting them, agree on matching criteria such as email for people and domain for companies, and set which value wins when a conflict occurs. After launch, sync errors are reviewed on a schedule and corrected at the source, so the same problem does not come back every week.
Clean and deduplicate first, then connect. Never the other way around.
Native Connector or Custom Integration
HubSpot offers a native Salesforce connector that covers the most common scenarios between the two platforms, with field mappings, inclusion lists and sync settings that an administrator can configure. For many companies it is the right starting point, because it is supported by HubSpot and keeps maintenance simple.
When the Native Connector Is Enough
When the process is standard, the objects are the usual ones and one Salesforce organization connects with one HubSpot account, the native connector, well configured and governed, usually covers the need.
When a Custom Integration Makes Sense
Some scenarios go further, such as custom objects with complex relationships, several Salesforce organizations or business units, data transformations between systems, or an ERP, billing or data platform that must join the same flow. In those cases ICX designs a custom integration through APIs or an integration platform, documented and monitored like any other business system.
How ICX Recommends an Approach
We review your process, data volumes, editions and the systems around the CRM, and recommend the simplest option that meets the requirements. The decision is documented with its tradeoffs, so leadership knows what it is choosing and what it would take to change later.
If you are still choosing a platform, our CRM implementation services help define it first. For a full deployment see HubSpot implementation, and for projects on the other side of the connection see our Salesforce consulting and implementation.
The simplest integration that meets the requirements is usually the best one.
Data Governance for HubSpot and Salesforce
An integration is not finished on launch day. Without governance, new fields, new automations and new users slowly break the rules that made the data reliable. ICX leaves a governance model in place before closing the project.
Owners and Data Stewards
Each object and critical field has an owner who approves changes and a steward who watches its quality in both systems.
Field Dictionary and Change Control
A shared dictionary documents every synced field, its system of record and its rules. Any change in either platform goes through a simple request and review before it reaches production.
Monitoring and Sync Error Review
Sync errors, duplicate rates and incomplete records are reviewed on a regular calendar, with clear responsibility for fixing the source of each problem.
One Version of the Customer for Leadership
Leaders agree which report lives in which system, so marketing, sales and finance discuss the same numbers. This is where the integration connects with revenue operations and with KPI and OKR that every team shares.
ICX works in 90-day phases based on Growth-Driven Design. The first synchronized processes are in production within the first 90 days, and further objects, integrations and reports follow phase by phase.
Governance keeps the integration working long after the project ends.

HubSpot Salesforce Integration Frequently Asked Questions
-
What is a HubSpot Salesforce integration?
A HubSpot Salesforce integration connects both CRMs so contacts, companies, deals and activities stay consistent between them. Done well, it defines which system owns each record, which data syncs in each direction and when, and how conflicts are resolved, so marketing and sales work from the same customer information.
-
What data syncs between HubSpot and Salesforce?
Most integrations sync HubSpot contacts with Salesforce leads or contacts, companies with accounts and deals with opportunities, plus tasks and marketing activity such as email engagement and form submissions. Custom fields are mapped individually. The exact scope depends on the editions you own and on the process ICX designs with your teams.
-
Should we use the native connector or a custom integration?
The native HubSpot connector for Salesforce covers the most common scenarios and is usually the best starting point. A custom integration makes sense with complex custom objects, several Salesforce organizations, data transformations, or when an ERP and other systems must join the same flow. ICX recommends the simplest option that meets your requirements.
-
How do you avoid duplicates and data conflicts?
ICX cleans and deduplicates both databases before connecting them, agrees on matching criteria such as email and domain, and defines which system prevails for each field. After launch, sync errors and duplicates are reviewed on a schedule and corrected at the source, supported by a governance model with an owner for each object.
-
Does every HubSpot contact need to sync to Salesforce?
Usually not. Inclusion lists and sync rules send only qualified or relevant contacts to Salesforce, for example those that reach an agreed lifecycle stage. This keeps the sales team focused on the right leads, reduces noise in both systems and protects the quality of the data that leadership reports on.
-
How long does a HubSpot Salesforce integration take?
ICX works in 90-day phases based on Growth-Driven Design. The first synchronized processes are in production within the first 90 days, and further objects, integrations and reports follow in later phases. Data quality, the number of custom fields and the systems involved shape the roadmap, which ICX confirms after the diagnostic.
-
Is ICX accredited to build this integration?
Yes. ICX Consulting is a HubSpot Solutions Partner at Platinum tier and holds five HubSpot accreditations, including the Custom Integration Accreditation and the Data Migration Accreditation. ICX is also a Salesforce Consulting Partner, so the same team understands and works on both sides of the connection.
-
How much does a HubSpot Salesforce integration cost?
ICX does not work from a price list. The investment depends on the objects and fields to sync, the data cleanup required, whether the native connector is enough and the systems around the CRM. Every engagement starts with a diagnostic and a maturity model, followed by a tailored proposal. Software licenses are purchased separately from each vendor.
